NISTR Privacy Policy

The Northern Ireland Substitute Teacher Register (NISTR) is managed by the Education Authority. This page explains the NISTR privacy policy and how we use any personal information we collect about you, when you use this website.

What information do we collect about you?

Substitute Teacher Users

During the registration phase NISTR collects information such as personal details, qualifications, work experience, teaching subjects and further information. Once registered you will manage your availability; including holiday periods.

School Users

NISTR will collect your full name, job title and contact details.

DE Payroll Users

NISTR will collect your full name, job title and contact details.

How will we use this information about you?

Substitute Teacher Users

Substitute Teacher User information will be contained in a regional centralised database for all substitute teachers in Northern Ireland. It allows local schools to access the database at short notice in order to book substitute teaching cover for teacher absences. Payment for all approved periods of substitute teaching is then made on a monthly basis by DE Teachers Pay Team. Your information will be use to meet these Service purposes.

School Users

School User information will be used to enable account creation and provide a booking audit trail. Depending on account creation level you will be able to

  • PRIMARY user: can manage school users, book and sign off substitute teacher users
  • School level 1 user: can book and sign off substitute teacher users
  • School level 2 user: can book substitute teacher users

DE Payroll Users

DE Payroll User information will be used to enable DE payroll account creation. Depending on account level you will be able to

  • DE level 1 user: export signed off bookings for DE payroll processing
  • DE level 2 user: search substitute teacher users to view their information and related bookings.

Reporting

Audited information will be used for system reports. Reports will relate to system usage and not be single End User specific.

Access to information and correction

NISTR want to make sure your personal information is correct and up to date.

Substitute Teacher Users

As a Substitute Teacher User you login and manage your own information. You have the option to suspend your account when logged in, but if wish your details to be completely removed from the Service you must contact NISTR Administration.

School Users

As a School User you can edit your personal information when logged in. The school PRIMARY user can suspend or archive your account. If you do not know who the school PRIMARY user is, contact NISTR administration.

DE Payroll Users

As a DE Payroll User you can edit your personal information when logged in. NISTR administration staff can suspend or archive your account.

Cookies

Cookies are used to retain context and session information when a user is logged in. They are not used to store any user information.

Where necessary or required we share information with:

  • data subjects themselves
  • local government
  • central government
  • suppliers and service providers
  • data processors
  • Department for Education (NI)
  • police forces, prison and probation services, courts and tribunals
  • auditors and audit bodies
  • Northern Ireland Audit office
